Closing a Transaction

What happens when you close a transaction in BrokerChamp: status change, closed date, audit log, and automatic commission plan advancement.

What Closing Does

Closing a transaction tells BrokerChamp the deal is done and the numbers are final. When you close, the system:

  • Sets the transaction status to Closed.
  • Stamps the Closed Date with the current timestamp.
  • Appends a note to the transaction history: "[Your Name] closed out the transaction".
  • Writes an entry to the audit log so the close is permanently attributable.
  • Triggers automatic commission plan advancement: if the agent has crossed a production milestone, their plan can promote to the next tier automatically.

Before You Close

Warning: Make sure the transaction is correct before closing. Closed transactions feed reporting, 1099 generation, the QuickBooks export, and recognition tier calculations. A typo in commission, fees, or splits propagates downstream the moment you close.

Run through the checklist:

  • All required documents are uploaded.
  • Commission, transaction fees, and any bonus are correct.
  • Splits and distribution rules have been reviewed.
  • CDA has been generated and sent to the title company (for sales).
  • Invoice has been generated and sent (when applicable).

Closing a Transaction

Step 1: Open the transaction in the Transaction Manager.
Step 2: Click the Close Transaction action.
Step 3: Wait for the page to redirect back to the transaction edit view. The status will now show as Closed and the closed date will be populated.

After Closing

  • The transaction is included in commission and reporting calculations from this point on.
  • The audit log records who closed it, from what IP, and when.
  • Plan advancement runs in the background and updates the agent's assigned plan if a promotion threshold was met.

Re-opening a Closed Transaction

Mistakes happen. If you need to re-open a closed transaction (for example, to correct a number that flowed into a 1099), an admin can change the status back from the edit screen. The audit log records both the close and the re-open, so the change is fully traceable.
