QuickBooks Integration

How to set up the QuickBooks account mapping in BrokerChamp so commission income and payouts export cleanly into your QuickBooks chart of accounts.

Where to Find It: click the gear icon in the top bar (Settings and Features), then QuickBooks in the settings menu on the left, under Accounting & Data. The card is headed QuickBooks Setup and carries a Configured or Setup needed badge, plus a View setup guide link.

Who can change it: any administrator. There is no separate capability checkbox for this tab on Admin Roles; the gear icon appears for admins and that is the whole gate.

What You Are Doing Here

You are matching each commission line from your closings to the account name you already use in QuickBooks. It is a one time job before your first export. If you are not sure what to put, keep the suggested defaults: your bookkeeper can rename the accounts in QuickBooks after the first import.

The Three Groups

  • Money You Earn: Total compensation earned, Bonus amount included, Buyer transaction fee, Seller transaction fee, E&O fee collected, Brokerage net retained.
  • Money You Pay Out: Agent's share, Franchise royalty, Referral payouts, Other disbursements from closing.
  • Money You Hold and Pass Through: Compensation advance, Child support withholding.

Office Tag (Optional)

If you track results by office in QuickBooks, using Classes in QuickBooks Online or the CLASS field in QuickBooks Desktop, the export tags each closing with the agent's office. Default office tag when blank covers closings with no office on record. Leave it empty if you do not track by office and QuickBooks ignores it.

The Buttons

  • Save writes the mapping.
  • Reset to defaults puts the suggested account names back.
  • Test export produces a sample so you can check the shape before running the real thing.
  • Go to Export Page takes you to Export to QuickBooks in the reporting hub.
  • View setup guide, in the card header, opens the full walkthrough.
Note: This mapping covers commission income and payouts from closed transactions. Monthly agent fees, desk fees and separately billed E&O premiums are not part of the export, and neither is escrow or trust activity. Those go into QuickBooks directly.
Tip: Until this mapping is saved, the export page refuses to produce a file and shows an Account setup link instead. Doing this first saves a confused trip to the reporting hub.
