Creating Transaction Invoices

How to generate, customize, and send transaction invoices to clients in BrokerChamp, including late-fee handling and past-due flags.

When to Use an Invoice

BrokerChamp invoices are most common on lease transactions where the brokerage bills the tenant or landlord for the transaction fee directly. They can also be used on any sale where the client is paying a separate brokerage fee outside of the closing statement.

What the Invoice Includes

  • Brokerage letterhead and address.
  • Invoice date, due date, and payment terms (Net 30 by default).
  • Property address and party names.
  • Line items: commission, buyer transaction fee, seller transaction fee, bonus, and any applied late fee.
  • Total amount due, prominently displayed.
  • Wiring / remittance instructions configured in Transaction Settings.

Generating an Invoice

Step 1: Open the transaction in the Transaction Manager.
Step 2: Click the Invoice action.
Step 3: Preview the PDF.
Step 4: Download or email it to the payer.

Past-Due Handling

If more than 30 days have passed since the move-in / closing date, BrokerChamp automatically:

  • Adds a red PAST DUE banner at the top of the invoice PDF.
  • Renders the total amount due in red.
  • Shows any applied late fee as its own line item.

Late Fees

Late fees are not applied automatically every time you re-open an invoice. They are applied through the Late Fee Rules engine in Transaction Settings. Configure your rules (for example, "10% after 30 days, additional 5% after 60 days"), run the late-fee application, and the resulting fee shows on the invoice as a separate line item.

Info: Just like the CDA, the invoice is generated from the transaction record. If a line item is wrong, fix the transaction and regenerate. Do not edit the PDF.
