Using the AI Assistant
How to use the built-in AI Assistant for real estate questions, marketing copy, property descriptions, and contract help.
Meet Your Brokerage Co-pilot
Every BrokerChamp dashboard ships with a built-in AI Assistant. It is a brokerage co-pilot, not a generic chatbot. It knows your role, your permissions, the BrokerChamp help docs, and your brokerage's name. You can ask it real estate questions, "how do I" questions about BrokerChamp, draft marketing copy, write property descriptions, or get help thinking through a tricky scenario.
Info: The assistant is powered by Anthropic's Claude model. It is configured per-brokerage. Some brokerages choose to keep it off; if you do not see the floating chat button on your dashboard, the brokerage has not enabled it.
Where to Find It
The chat button appears in the lower-right corner of the dashboard when the assistant is enabled for your brokerage. Click it to open the chat panel. The display name (e.g., "Champ", "ChampBot", or whatever your brokerage chose) sits at the top of the panel.
What It Can Do
- Answer "how do I" questions about BrokerChamp: the assistant has read every help-doc page and can guide you with the exact menu paths. When it cites a page, you can click the citation to open the doc.
- Real estate questions: contracts, terminology, market norms, transaction process.
- Marketing copy: social media captions, listing blurbs, agent bios, follow-up messages.
- Property descriptions: turn raw listing details into a draft description.
- Contract help: explain clauses in plain English so you know what to ask the title company or attorney about.
What It Will Not Do
- Legal or tax advice: it will tell you to check with a licensed professional. It will not draft binding legal language.
- Fair-housing violations: it will refuse to write copy that uses protected-class language in listings or recruiting.
- Falsify contract terms, dates, or signatures: hard refusal.
- Off-topic essays / homework / general coding: it will politely redirect to real estate and brokerage topics.
- Walk you through features you do not have permission to use: the assistant knows your role and admin capabilities. If you ask an agent question that requires admin rights, it will explain and redirect you to your broker.
Conversations
Your conversations are saved to your account, not just to your browser. You can come back tomorrow and pick up where you left off. The chat panel includes a history list of your recent conversations so you can return to any one of them.
Info: Conversations are private to you. Your team members and other agents cannot see them. Brokerage admins can clear the brokerage's entire AI conversation history from settings but cannot read individual conversations.
Citing Help Docs
When the assistant answers a "how do I" question, it cites help-doc pages inline. Citations look like a small link next to the relevant text. Click the citation to open the underlying doc in a new tab and read the full walkthrough.
Per-Tenant Customization
Brokerage admins can name the assistant (ChampBot, Champ, Ace, etc.) and add a "persona note" that tells the assistant about the brokerage's voice: "Speak warmly. We are a boutique luxury brokerage." That note shapes how it talks to your team. See AI Assistant Settings for the admin walkthrough.
Rate Limits and Caps
To keep costs predictable, the assistant has two limits per agent:
- Daily cap: a configurable per-agent message ceiling (default 200 messages per day).
- Burst: 20 messages within any 5-minute window.
If you hit a cap, the assistant says so and tells you when it resets.
Privacy
Your messages, a small amount of context about who is asking (your first name, your role, your brokerage name), and any matched help-doc snippets are sent to the AI provider for inference. SSNs and obvious account numbers are automatically redacted before sending. Conversations are stored in BrokerChamp until they age past the retention window your brokerage configured.
Tips for Better Results
- Be specific: "Write a 3-sentence Instagram caption for a 4-bedroom Tudor in East Dallas with a new kitchen" beats "write me a caption".
- Iterate: ask for shorter, more casual, different tone. The assistant remembers earlier turns in the conversation.
- Tell it your voice: "Casual", "formal", "neighborhood-focused". It applies the cue.
- Open a new conversation when you change topics; threading topics together makes the context confusing.
Warning: Treat the assistant like any other AI tool. Do not paste client SSNs, full account numbers, or private contract terms into the chat. SSN-shaped values are auto-redacted but careful is better than caught.
