How to compose and send company-wide emails to all agents.

Sending a Company-Wide Email

BrokerChamp has two halves to outbound email: agents and staff compose messages in the Mailer, and admins approve, manage, and monitor them in the Communication Manager. This page covers the end-to-end flow.

Step 1: Compose the Message

Step 1: Open Mailer from the dashboard left menu.
Step 2: Pick recipients: all agents, all staff, by office, by office group, or individual agents.
Step 3: Type your subject and message body in the rich text editor.
Step 4: Optionally attach files.
Step 5: Click Send. The message moves into the Pending queue, awaiting admin approval.

Step 2: Admin Approval

If the brokerage requires approval (the default), the message will not deliver until an admin reviews it in the Communication Manager. The admin can approve, deny, or now (since the 2026-05-04 update) edit the message before approving so small corrections do not require sending it back to the author.

Step 3: Delivery

Approved messages move to the Active queue and start sending. The Communication Manager shows per-agent delivery status as messages go out, so admins can see exactly who has received the message and who is still queued.

Recipient Targeting Options

  • All agents: every agent currently active on the roster.
  • All staff: every staff member currently active.
  • By office: single office.
  • By office group: a previously-defined group of offices.
  • Individual agents: hand-picked recipients.

Optional SMS

For time-sensitive messages, the brokerage can also enable SMS delivery alongside email. The mailer offers an SMS toggle when this is configured.

What Lands in Each Queue

  • Pending: submitted but awaiting approval. Admins can preview, edit, approve, or deny.
  • Active: approved and currently sending. Admins can cancel if needed.
  • Sent: fully delivered. Per-recipient delivery status visible.
  • Denied: rejected by an admin (with a reason).
Info: Brokerages can disable the approval step for trusted senders. In that case, messages move straight from Mailer to Active queue and start sending immediately.
Tip: Use the Sent queue as a record of every brokerage-wide message. The accordion stays browsable months later, so "what did we send the agents about renewals?" is one search away.
