Understanding Communication Manager

Overview of the approval workflow for company-wide emails and announcements.

What the Communication Manager Is

The Communication Manager is the admin-side companion to the agent-facing Mailer. It is where admins review, edit, approve, send, monitor, and archive every company-wide message that flows through BrokerChamp. The interface organizes messages into four accordion sections so the volume stays manageable.

Opening the Communication Manager

Open Admin → Communication Manager from the admin menu. The page header reads "Company-Wide Messages" and the four queues sit underneath, each collapsible.

The Four Queues

  • Pending: messages submitted by agents or staff that need admin approval. Most active queue day-to-day.
  • Active: approved messages currently sending. Per-agent delivery status visible here.
  • Sent: messages fully delivered. Browsable history.
  • Denied: messages rejected by an admin, with the deny reason.

What You Can Do With Each Message

  • Preview: opens a modal with the rendered HTML message exactly as recipients will see it.
  • Recipient List: opens a modal showing every recipient the message will go to (or did go to).
  • Edit: (Pending only) lets the admin tweak subject, body, or recipients before approving. Added 2026-05-04.
  • Approve: (Pending only) moves the message to Active and starts delivery.
  • Deny: (Pending only) rejects the message with a reason.
  • Cancel: (Active only) stops in-progress delivery.

Mobile Use

The Communication Manager was updated for better mobile use in May 2026. Admins can review and approve messages from a phone without a desktop. Useful when traveling or off-hours and a time-sensitive message needs to go out.

Per-Agent Delivery Status

For each message in Active or Sent state, the manager shows delivery status for every recipient (queued, sent, opened, bounced). This makes "did Jane actually get the announcement?" a one-glance question instead of a help-desk ticket.

Info: If your brokerage has the approval step disabled, the Pending queue will usually be empty. Messages go straight to Active and start sending.
Tip: Make Communication Manager review a daily admin habit. Five minutes of review keeps queue depth at zero and message turnaround fast.
