Transaction coordination

TC software that lives where the deal lives.

BrokerChamp gives a brokerage's transaction coordinator one pipeline for every agent's deals, with compliance checklists, documents, CDAs, and commissions on the same record, included in one flat brokerage rate with no per-file fees.

$0 per deal

What coordination costs per closing inside BrokerChamp's flat rate. For comparison, outsourced coordination starts at $299 per closing through SkySlope's SkyTC service, and per-deal pricing compounds with your volume.

What it does

Most transaction coordinator software is built for the coordinator as an individual: a personal checklist tool, priced per file or per seat, that lives outside the brokerage's own systems. The deal gets coordinated in one place and closed, paid, and reported in another, and the TC becomes the human bridge between the two.

BrokerChamp takes the other approach. Coordination is a role inside the back office, not a separate product. The coordinator works every agent's deals from one pipeline, and the record they keep complete is the same record that runs the compliance checklist, calculates the commission, generates the CDA, and feeds reporting and the QuickBooks export. Nothing is re-keyed into a second system, because there is no second system.

The coordinator's day, in one pipeline

The pipeline filters by status, type, side, and agent, so the day starts with exactly what needs attention rather than a spreadsheet re-sort. Each brokerage defines which documents are required for which transaction scenarios, and every deal carries that checklist with missing items flagged, so nothing closes incomplete.

The data-entry half of the job is largely handled. Agents open deals by uploading the executed contract, and the platform reads it and prefills the address, parties, price, dates, option period, title company, and the co-op agent, every field marked as a suggestion for review, never silently accepted. Paperwork arrives as a stack, a dozen loose files or one zip from the e-sign platform, and lands in a sort-and-review screen with document types pre-selected by AI, so a glance and a confirm replaces a dozen dropdown picks. Property addresses are verified against live address data as they are typed, which keeps misspelled streets off CDAs and invoices. What reaches the coordinator is review work, not typing work.

The questions that eat a TC's afternoon, answered by the system

Two questions consume more coordinator time than any checklist: "did you get the amendment yet?" from the other side of the deal, and "I never received the CDA" when money is on the line.

For the first, the coordinator shares a private status page with the cooperating agent: a branded, no-login view showing the milestone timeline and which checklist documents are received or outstanding, with nothing sensitive on it, no prices, no commissions, no documents, no client contacts. It shows live status, so the other side checks the page instead of calling. Each link is unguessable, revocable in one click, and quietly shows the co-op side how organized your office is.

For the second, every CDA, invoice, and notification email on a transaction carries its own delivery record: delivered, opened, or bounced, per recipient, with timestamps and the exact attachment that went out. When a party claims the CDA never arrived, the coordinator settles it from the transaction screen instead of taking anyone's word for it.

Where standalone TC tools stop

A per-file TC tool ends at the closing checklist. The work does not. The commission still has to be calculated with the right split, cap, and any deal-level exception. The CDA and invoice still have to match the brokerage's standard payment instructions. The payout still has to reach the agent, the 1099 totals still have to be right in January, and the broker still needs oversight along the way.

Because coordination here happens on the same record as everything else, that handoff is not a handoff. Commission calculates from the deal as it stands, CDAs follow rules the office set once and can preview before use, teams can require leader approval before a deal progresses, and every sensitive action lands in the audit trail. The coordinator's finished file flows into payouts, 1099 prep, and the bookkeeper's QuickBooks export without being retyped by anyone.

What it costs

Transaction coordination is included in BrokerChamp's flat rate: $899 per month founding, $1,299 per month standard, with up to 100 agents included in both. There is no per-file fee, no per-intake fee, and no per-seat charge for coordinators or admins.

That matters because coordination tooling is usually metered. Per-deal services and per-intake tools charge for every closing, so the busier the brokerage, the bigger the bill. A flat brokerage rate breaks that link: coordinating deal three hundred costs the same as deal three, which is to say nothing extra at all. The full rate structure is on the pricing page.

Who it's for, and who it isn't

This page is for brokerages: an office with an in-house TC or admin coordinating for the whole roster, a broker whose coordinator is drowning in a tool that ends at the checklist, or an office bringing coordination in-house from a per-deal service. In each case the win is the same, coordination on the record the brokerage already runs its money on.

It is honestly not for solo freelance TCs who coordinate for several unrelated brokerages. BrokerChamp is brokerage software on a brokerage rate, and a per-file tool genuinely fits that independent business model better. If that is you, we would rather say so here than after a demo.

Frequently asked questions

What is transaction coordinator software?
Transaction coordinator software manages the work between contract and closing: required documents, compliance checklists, deadlines, and communication with everyone on the deal. Most tools in the category are standalone products priced per file or per user. BrokerChamp builds the same coordination workflow into the brokerage's back office, so the coordinated deal is the same record that runs commissions, CDAs, payouts, and reporting.
Is BrokerChamp for solo or freelance transaction coordinators?
Honestly, no. BrokerChamp is brokerage software on a flat brokerage rate, built for coordination done in-house for one office's roster. A freelance TC serving several unrelated brokerages is genuinely better served by a per-file tool built around that business model. If your brokerage employs its coordinator, or wants to, this is the page for you.
Does this replace our transaction coordinator?
No, it makes one coordinator able to carry a much bigger load. AI contract intake and document sorting remove the typing, the pipeline removes the status-chasing, and the shared status page removes the co-op phone tag, but review and judgment stay human. The Vibe Brokerage runs 1,478 transactions with 1 admin on this platform.
How is this different from per-file TC tools?
Two ways. Scope: a per-file tool ends at the closing checklist, while BrokerChamp carries the same record through commission calculation, CDAs, payouts, 1099 totals, and the QuickBooks export, with broker approvals and an audit trail along the way. Pricing: per-file tools charge for every deal you coordinate, while BrokerChamp's flat rate means coordination costs the same in your busiest month as in your slowest.
Can the other side of the deal see status without calling us?
Yes. From any transaction, your coordinator or agent shares a private, branded status page with the cooperating agent: a milestone timeline and the document checklist shown only as received or outstanding, with no prices, commissions, documents, or client contact details, ever. The link is unguessable, can be regenerated or turned off in one click, and always shows live status, so it answers the question before anyone has to ask it.
What does transaction coordination cost in BrokerChamp?
It is included in the flat brokerage rate: $899 per month at the founding rate, or $1,299 per month standard, both with up to 100 agents included. There are no per-file, per-intake, or per-seat fees for coordination, and compliance, commissions, agent billing, onboarding, reporting, and the brokerage website are in the same number.
