Dates come from your contract. Every deadline here is a placeholder for what your executed contract actually says.
Terminology varies by state. Option period is Texas language; map each item to your state's forms.

Role tags: TC transaction coordinator  Agent licensee on the deal  Broker broker or compliance  Acct accounting or money desk

Stage 1 · File setup, on execution day

In BrokerChamp this step reads itself off the uploaded contract, with every field reviewed before anything is saved.

Stage 2 · Earnest money and early deliveries

Stage 3 · Inspections and the option period

Stage 4 · Financing and appraisal

Stage 5 · Title, escrow, and insurance

In BrokerChamp the CDA generates from the transaction record, following payment rules the office set once, with a preview before it goes out.

Stage 6 · Pre-closing week

This is the step BrokerChamp's compliance engine enforces automatically: missing documents are flagged and nothing closes incomplete.

Stage 7 · Closing day

Stage 8 · Post-closing

The version of this checklist that runs itself

A printed checklist is a memory aid. Inside BrokerChamp, this same list is enforcement: required documents are defined per transaction type, missing items are flagged on every deal, the CDA generates from the record, and nothing closes incomplete. The coordinator reviews instead of retyping, and the broker sees the whole pipeline instead of asking for status.

That is the difference between a checklist your office follows and one your office cannot skip.

Questions about this checklist

Can I download this transaction coordinator checklist as a PDF?
Yes. Use the Print button (or your browser's print function) and choose Save as PDF. The print layout strips the site navigation and keeps the checkboxes, so it works on paper or as a file. The whole checklist is on this page, and no email address is required for any of it.
Is this checklist free to use for my brokerage or team?
Yes. Copy it, print it, adapt it to your office's workflow, and share it with your coordinators and agents. It was written from the brokerage side of coordination, where the checklist has to connect to compliance, commissions, and closing paperwork, not just to a personal to-do list.
Do the stages match my state's contract forms?
The stages are universal, but terminology and deadlines vary by state and by contract form. Option period, for example, is Texas terminology; other states use inspection contingencies with different mechanics. Treat every deadline on this page as a placeholder for the date your executed contract actually sets, and map item names to your state's promulgated forms.
Who should own each checklist item?
Each task is tagged with the role best placed to own it in a brokerage: the transaction coordinator, the agent, the broker, or accounting. In a smaller office one person may wear several of those hats, and the tags still work as a handoff map: they show which items need the license holder, which need the money desk, and which are pure coordination.
